2. Detailed Narrative of Process


Background:

XYZ Company provides auditing, attestation, and tax services to clients in the Central Florida community. XYZ Co. has recently had complaints regarding the payroll process being confusing. While XYZ Co. has always had rigid policies for which employees must report their time, they felt it would be beneficial to create a data flow diagram and flow charts to help simplify the process.

Narrative:

Employees are expected to keep their time sheets up to date by manually entering the hours on a timely basis. All hours should be specified as one of the following; chargeable, non-chargeable, paid time off. Any hours exceeding 40 hours during the week will be considered overtime. By Monday morning of the following week each employee must submit their hours so the time-recording system can process them.

The system will then pull the hours every Monday afternoon to verify any PTO that has been input. If any employee has exceeded their PTO limit of 120 hours per year, the system will send the time sheet back to the employee for correction. If the paid time off is validated, then the system will record the changes to update the time recording database.

After all employees’ time sheets have been recorded, a report is then displayed to the supervisor to monitor chargeable and non-chargeable hours. The supervisor must either approve the employee time sheet or send the time sheet back to the employee for any modifications. If the supervisor approves an employee time sheet then the data will be saved to a separate database that the payroll department can access at the appropriate time.

All of the approved time sheets are then processed by the supervisor to create a utilization report. The utilization report is used to determine if the firm is meeting their budget and is sent out to employees to aid them in meeting their budget.
